Product, Service and Solution

Insightly is web-based, with no server/desktop version. Support is offered via email, training documentation, webinars and online. The CRM segment of the software allows users to manage contacts, schedule events, tag and annotate leads, customize fields and filters, share files, track sales opportunities and view reports. It also allows you to link related projects, contacts and opportunities.

The project management component affords users the ability to create tasks and benchmarks for projects, set and send automatic email reminders to team members, monitor email correspondence, track project progress, view reports and share project-related files.

Insightly works well with third-party applications. It integrates seamlessly with a number of Google products, including Gmail, Google Drive, Google Calendar and Google Apps. If Google isn't to your liking, Insightly also works in tandem with MailChimp, Torpio, Evernote, Zapier and Outlook. If further integration is needed, API access is available.

With Android and iOS apps, Insightly is as close as your smartphone or tablet, enabling you to manage contacts from nearly anywhere.

Insightly Pricing

All tiers allow business owners to manage contacts, leads, tasks, events, projects and opportunities, while also giving access to email templates and mass emailing. Each service level extends the capabilities of the tier below it with additional email templates, a greater number of emails sent per day, more contacts and storage and better support.

Prices are per user/per month, with no contracts:

  • Basic: $12/month billed annually, $15/month billed monthly
  • Plus: $29/month billed annually, $35/month billed monthly

While the advertising department closes some deals quickly, others can take up to 500 "touches" before a sales contract is finalized. Benefits and Drawbacks

Pros

The thoughtfully-designed user interface is laid out well and easy to use, making this an excellent point of entry for businesses with no prior CRM experience. Contact management -- including assigning tags and roles, and matching individuals to their organizations -- is much simpler than many other CRM systems. The software also integrates cleanly with Gmail, Google Docs, Outlook and Evernote, among others.

Cons

While social media integration is central to Insightly's data capture, it is not quite as robust as some competitors we have seen. There's no desktop/server software, so this isn't an ideal solution for businesses that prefer to keep a tight lid on their internet security or that have other reasons for running the service locally.

Reporting features are competent, but could stand to be improved. Sorting remains a bit clunky, making it a challenge to find duplicate leads and contacts and since organization records are created by email, contacts with multiple emails can be problematic.

Verdict

Insightly maintains a small business focus without skimping on features. This is by no means a "light" solution, and it's more than capable of scaling as your business grows. The pricing - starting with a free plan that's surprisingly effective for its price - is small business and startup friendly. The ease of use and the fact that the company is continually making improvements to its service also make it attractive.

Insightly is not HIPAA or Sarbanes-Oxley compliant, meaning that it's not suited to big businesses, and there are some "missing" features (automation, reporting). However, it performs well for its intended target market, so if you're a small business on a budget Insightly should be more than equal to your needs.
